A PRACTICAL GUIDE / BY PUKAR DHAKAL
Five signs your business has outgrown spreadsheets
Decide whether shared spreadsheets need a better process, an existing tool or a small custom application.
1. Your team keeps re-entering the same information
List where an order or customer record is copied, how often and by whom. Multiply the time per task by its frequency to estimate the avoidable effort. An import or integration may solve this without replacing every spreadsheet.
2. Nobody knows which version is correct
Multiple copies and conflicting edits can make approvals and reporting unreliable. First consider a shared source with clear ownership. A database application becomes useful when you need validation, history and controlled updates.
3. Access permissions are too broad
If people need different access to customer, pricing or operational records, document who should view and change each part. Compare tools that already provide these controls before commissioning a custom system.
4. Reporting depends on one person
Write down the steps needed to produce a weekly report and how errors are detected. A repeatable import and dashboard may be enough. Account for messy source data and reconciliation rather than assuming automation fixes data quality.
5. Missed handovers are costing time or customers
A job tracker can make ownership, status and overdue work visible. Pilot one workflow with the people doing the work before adding customer accounts or complex reporting.
Compare the full cost before building
Compare process changes, existing software and a custom build. Include licences, migration, testing, training, hosting and support. Start with one measurable outcome and review the result before expanding.
